Job Summary

The Payroll Specialist is responsible for payroll preparation; collect and review employee information and working hours. Assist with special projects data entry, responding to public requests and inquiries, scheduling meetings and/or travel arrangements, handling purchase orders and invoices, file and inventory maintenance. The class works within a general outline of work to be performed; develops work methods and sequences under general supervision.

Key Functions/Knowledge/Skills

· More specialized skills in a particular type of work; knowledge of an extensive body of rules, procedures, or operations; specialized skills that may be technical or non-technical, such as research and analytical skills, composing non-routine documents and letters, ability to use software in complex applications.
· Prepare payroll for employees.
· Gather information on hours worked for each employee.
· Administer statements of payment to personnel either electronically and/or paper.
· Keep track of hour rates, wages, new hire information etc.
· Address issues and questions regarding payroll from employees and superiors.
· Assist in preparing reports for department.
· Manage Time clock program, FMLA, Worker’s Comp for department.
· Update employee files and submit accrual balances to Supervisors.
· Assist with review and dispose of records depending on retention period.
· Assist in preparation of meetings for the department.
· Creates, revises and edits correspondence and documents such as memos, letters, invoices, reports and/ or agendas.
· Review; prepare P-Card reports for Department.
· Prepares and maintains purchase orders and invoices for payment.
· Performs accounting functions such as balancing receipts and ledgers, making bank deposits and recording payments.
· Assist in ordering supplies and maintains departmental inventory.
· Receives and redistributes incoming mail.
· Answers and redirects phone calls.
· Assist with Procore program for employees.
· Responds to customer inquiries and requests.
· Assists with special projects.
· Maintains and updates filing systems.
· Performs data entry functions and other related duties as required.

Minimum Education & Experience

Bachelor's degree (no experience), or associate's degree plus two years of experience, or high school graduation or GED plus four years of experience.

Special Certifications & Licenses

Valid Texas Driver’s License

Independence & Judgement

Minimal judgment; instructions, once established and defined, normally allow the job to be accomplished without direct and/or constant supervision; mostly routine work requiring that employee recognize obvious problems.

Initiative & Ingenuity

General guidelines: occasionally requires interpretation of available options to apply to non-standard situations; day-to-day work drives priorities.

Supervisory & Responsibility

Does not supervise.

Financial Responsibility

Prepares payroll; reconciles bank accounts.

Physical Demands

Office job with little or occasional light physical effort; may require brief periods of heavy muscular exertion, such as standing, lifting, moving, pulling, pushing, etc, ability to exert up to 20-35 lbs. of force occasionally to move objects.

Responsibility for Equipment & Property

Responsible for use of equipment/property such as office equipment, supplies, etc., which are used in office.
